BUFFALO MARITIME CENTER JOB OPENING:
JOB TITLE: ADMINISTRATIVE ASSISTANT
REPORTS TO: EXECUTIVE DIRECTOR

OVERVIEW:
The Buffalo Maritime Center (BMC) is a non-profit 501(c)(3) organization whose mission is to
provide everyone the opportunity to experience the joy of being on the water, to learn maritime
history, and to achieve higher levels of craftsmanship.

The Buffalo Maritime Center is seeking a full-time Administrative Assistant who is detail-
oriented, self-motivated, and interested in taking on a variety of tasks to help the BMC enhance its community programs.

POSITION DESCRIPTION:
The work of the Administrative Assistant is vital to the operation of the BMC and the growth of
the organization. This position has been created to accommodate the expansion of the BMC’s
programs and projects.

The Administrative Assistant will be responsible for working with BMC’s Executive Director to
oversee the day-to-day office needs of the organization as well as coordinating communication
with BMC members and volunteers.

KEY RESPONSIBILITIES:
o Provide general and specific administrative and clerical support to the Executive Director
o Make all bank deposits and pick up and drop off mail, including bulk mail
o Receive, screen, and route all telephone calls and inquiry emails for Director and staff
o Process invoices and receipts as well as requests for reimbursement, petty cash, credit
card purchases, supplies, business cards, and other expenses in accordance with
proper approvals and budgets; researches and resolves related problems
o Assist with office accounting needs
o Assist with fundraising tasks including preparing appeals, sponsor packets, membership
letters and other communication
o Prepare emails to send out to BMC’s membership
o Post program promotional updates on social media on behalf of the BMC
o Perform other related work relevant to BMC’s operations

IDEAL QUALIFICATIONS:
o Ability to collaborate and work with a team of dedicated staff who share enthusiasm for
the mission, vision, and values of the Buffalo Maritime Center
o Desire to contribute to a positive work environment and culture
o Demonstrable communication skills, both verbal and written
o Strong willingness to take on challenges in a timely manner
o Demonstrated experience working with Microsoft Office and Google Drive
o Experience with social media platforms
o Experience with graphic programs such as Canva and Adobe a plus
o Experience with marketing and communication programs such as Past Perfect,
Mailchimp, and WordPress a plus
o Basic accounting skills a plus
